Salesforce Prophet 21 Integration: A Distributor’s Planning Guide
Salesforce Prophet 21 integration connects customer-facing sales activity with the distribution information maintained in Epicor P21. Buyers evaluating it need to understand the full order workflow: the customer and branch involved, the relevant price and available quantity, the approved order handoff and the status returned to Salesforce.
Epicor lists Duet360 OneOffice as a managed Salesforce integration for ERP platforms including Prophet 21. The planning guidance below explains what to confirm for a particular P21 environment; it is not a claim that every field or operation is included in every implementation.
What should Salesforce users see from P21?
Distribution need | Context to confirm |
|---|---|
Customer-specific quoting | Sold-to, ship-to, product, quantity, price source and currency |
Branch or warehouse availability | Location, unit of measure, allocation rules and refresh timing |
Approved order creation | Validated references, required terms and permitted P21 operation |
Shipment and invoice inquiries | Order/line relationship, returned status and role-appropriate access |
Map the customer before retrieving commercial information
One Salesforce account may relate to several ERP customers or ship-to locations. Agree which company and branch serve each request and which identifiers connect the records. Avoid matching by name alone. Define how missing references and duplicate customers are routed for review.
Keep P21 pricing and availability in context
A salesperson may need a customer-specific price rather than a general price list. Inventory may be physically present but allocated, restricted or held at a different location. Confirm the authoritative pricing and stock definitions, when they are refreshed and whether the workflow performs a lookup or uses synchronized data. A displayed quantity does not itself reserve stock.
Trace an approved order through acceptance
Illustrative distributor workflow: the salesperson selects the mapped P21 customer, item and branch in an agreed Salesforce process. Pricing and availability checks support a quote. After approval, required references are validated and the order request is submitted through the supported P21 interface. Salesforce receives acceptance and an ERP reference, or an exception that identifies the next action.
Test a changed price, an invalid ship-to, a missing item, a duplicate request and an interrupted connection. Establish whether the ERP accepted the transaction before retrying. The selected release and interfaces determine which read, create and update operations can be included.
Use a demonstration to assess fit
Endowance’s testimonial page includes Pete Chrobak of Duncan Parnell discussing Salesforce, Epicor P21 and Duet360. Review that customer perspective alongside a demonstration of your own required workflow. A testimonial is project-specific evidence, not a guarantee of equivalent results for another distributor.
Questions to bring to discovery
Bring the P21 product version and deployment, Salesforce configuration, sample quote and order, branch and warehouse structure, pricing owner, approval rules and required update cadence. Ask which behavior is prebuilt, which mappings need configuration and which requirements need additional design. Confirm implementation responsibilities and support arrangements in the agreed scope.
Choose a measurable first release
Begin with a complete transaction for representative customers, items and branches. Measure order-entry rework, time to confirm information and time to ERP acceptance. Expand after users validate both the successful flow and the exception process.
